How to Modify an Existing Credential

  1. Determine the type of change you wish to make. Additional details and documentation are available under the Curriculum Actions and Academic Policy sections of the Curriculum Development site.

    a. Changes requiring council approval (includes changes to credit hours, delivery or modality changes, required courses from other departments, resource-related changes, or closure of a degree, major, minor, credit-bearing certificate, or dual degree program). Go to step 2.

    b. Course substitutions and text updates (include changes to courses without increasing or reducing the minimum number of required credits, making other text updates the program, Creation or elimination of tracks, emphases, options). Go to step 3.

    c. Changes to non-course requirements. Go to step 3.

    d. Changes to the name of a credential. This will require deactivating/closing the current program and proposing a new program. See step 2 for program closure instructions. See the New Program Proposal Guide for information on proposing the new program.

  2. Complete the cover sheet and submit it to Academic Affairs. The cover sheet is available at under Curriculum Development Documents and Forms at the Curriculum Development website.ÌýÌý

    a. Consult the Calendars and Schedules section of the Curriculum Development website to determine deadlines for submitting proposals and meeting dates.

    b. Complete proposed changes on program proposal form. See step 3 for instructions.

  3. Complete the program proposal form with changes.

    a. Access the program proposal through the CourseLeaf dashboard. Links are available under CourseLeaf Links at the Curriculum Development site.Ìý

    b. Find the desired program. Programs are organized by college and department codes. A list of current codes is available on the glossary page under Faculty & Staff Resources at the Registrar's Office website. The program proposal form site also has a search function. The percent sign (%) is used as a wild card in searches on this form.Ìý

    c. Complete the required fields on the form. Determine the type of proposed change (Changes that require council, Course substitutions and text updates only, Changes to non-course requirements) you are making and select the appropriate answer. The response to this question will affect the workflow approval process.Ìý

    d. Complete changes on the proposal form. Help documentation is posted under the Job Aids section of the Curriculum Development website.Ìý One-on-one help is available by contacting Registrar Office staff. Please refer to the Curriculum Development landing page for contact information.Ìý

    Ìý Ìý Ìýi. Courses need only to be proposed (they do not have to move through the entire approval workflow) to be Ìý Ìý Ìý Ìý available for entry in the program of study. Program changes with missing courses will be returned to users.Ìý

    Ìý Ìý Ìýii. Changes in credit hours must make it through the entire workflow approval to be available within the program proposal form at the correct value. Credit hours may be manually overridden with program proposal submitted into workflow.Ìý

    e. If you are making a change that requires council, go to step 4. If you are making course substitutions and text updates or changes to non-course requirements, go to step 5.

  4. You or a departmental representative will need to attend either graduate or undergraduate council to either announce or present your changes. Please refer to the Curriculum Actions and Academic Policy sections of the Curriculum Development site for details on what materials are required.ÌýÌý

    a. For actions requiring council voting, you will be notified of the outcome after voting has concluded.Ìý

    b. Go to step 5 for instructions on the program change and the proposal record.

  5. Track the progress of the program proposal form via the CourseLeaf dashboard. A quick guide to the dashboard is available under the Job Aids section of the Curriculum Development website.Ìý Ìý
  6. After receiving notification of the proposal record being approved, edit the bulletin as needed. The nextbulletin site should reflect the curriculum change after the CourseLeaf record is approved.Ìý
